Project Description
Realestate Office IT Relocation – Melbourne

We recently partnered with a growing real estate business in Melbourne, consisting of 10 staff members and operating as part of a national network. The company specialises in both sales and property management of commercial and residential developments. Known for its market expertise and client-first approach, the business had just completed a major relocation to a new office space—an exciting step forward in its expansion.
The previous office included a phone system as part of the lease, which had served its purpose but offered limited flexibility. The new premises, however, were delivered as a bare shell, requiring a full fit-out. This presented a unique opportunity to implement a modern, scalable IT and communications infrastructure tailored precisely to the business’s operational needs.
No Stress Relocation

The relocation meant starting from scratch with no existing equipment. While this offered a clean slate, it also introduced a pressing need to make smart, future-proof decisions. The business required a reliable phone system, seamless connectivity, and tools that would support both in-office and remote work scenarios.
Additionally, the company operated multiple entities under one roof, each requiring separate phone numbers. The solution needed to accommodate this complexity without introducing unnecessary costs or technical overhead.
Fortunately, the new location offered fast and stable internet connectivity, which opened the door to more advanced and cost-effective solutions. The challenge was to design and implement an IT relocation strategy that would not only meet current needs but also scale with the business.
- Cost Savings:
By choosing a VoIP system, the business avoided expensive line rental fees and benefited from significantly lower call rates. - Scalability and Flexibility:
The system can be easily expanded or modified as the business grows, with no downtime or complex reconfiguration required. - Improved Mobility:
Staff can now work from anywhere using the mobile app, enhancing productivity and responsiveness—especially important in the fast-paced real estate industry. - Enhanced Professionalism:
Features like caller ID, call routing, and voicemail-to-email improved the customer experience and internal efficiency. - Future-Proof Infrastructure:
The solution is built to evolve with the business, supporting future integrations and upgrades without disruption.
The Approach
Our strategy centered on leveraging modern cloud-based technologies to deliver flexibility, cost savings, and ease of use. With high-speed internet readily available, we recommended a Voice over Internet Protocol (VoIP) solution—specifically the 3CX phone system—paired with Yealink handsets.
This combination offered a robust feature set, seamless integration with existing IT infrastructure, and a user-friendly experience for staff. The goal was to create a communications environment that felt intuitive and professional, while also being adaptable to future changes.
The Solution
This project became a textbook example of a successful IT relocation—transforming a bare office space into a fully functional, tech-enabled workplace. The solution included:
- 3CX VoIP Phone System:
We deployed 3CX across the office, using Yealink handsets known for their ease of use and advanced functionality. The system supported all standard business call features—call forwarding, voicemail, call queues, and more. - Multiple Numbers for Multiple Entities:
The business required several phone numbers to support different entities. With VoIP, these numbers were easily provisioned in blocks at a low cost, with no need for physical lines or additional rental fees. - Integration with Microsoft Outlook:
Caller ID integration with Outlook allowed staff to instantly recognise incoming calls, improving customer service and internal efficiency. - Remote Desktop and Mobile Apps:
Staff were equipped with both desktop and mobile applications, enabling them to make and receive calls from anywhere. The mobile app was particularly useful for agents working in the field, ensuring they remained connected without being tied to a desk. - Presence and Call Status Monitoring:
The system allowed users to view the availability of colleagues in real time, helping staff determine whether someone was on a call or available—streamlining internal communication. - Minimal Training Required:
Thanks to the intuitive interface of both the software and Yealink devices, new staff required very little training. This saved the company time and money during onboarding and ensured rapid adoption.
What’s Next?
The success of this IT relocation has laid the foundation for further digital enhancements. As the business continues to grow, we’re exploring additional integrations with CRM systems and cloud-based collaboration tools to further streamline operations.
This project demonstrates how a strategic approach to IT relocation can empower businesses to operate more efficiently, serve clients better, and adapt to changing needs—all while keeping costs under control.
