Project Description

server to cloud

Paul Edgar Pty Ltd is a boutique firm of Accountants and Financial Planners based in Melbourne. With five staff and a loyal client base, the company has been delivering financial services for over two decades. Like many small businesses, their IT infrastructure had grown organically over time, including a Microsoft Small Business Server (SBS) that had served them well—but was now showing its age.

The firm relied heavily on email for client communication, document exchange, and internal coordination. However, compatibility issues between their SBS 2003 Exchange server and newer versions of Microsoft Outlook were becoming increasingly disruptive. New computers had to be downgraded to Office 2010 just to maintain email functionality—a clear sign that the system was no longer fit for purpose.

server to cloud

The aging server posed several risks:

  • Hardware failure was imminent, threatening up to two days of email downtime in the event of a crash.
  • Mobile access to email was becoming unreliable, with staff at risk of losing connectivity altogether.
  • Compatibility issues were forcing inefficient workarounds, such as software downgrades.
  • Storage limitations capped total email data at 72GB for the entire company.

Replacing the server with a newer version of Microsoft Server was an option—but a costly one. Paul Edgar Pty Ltd needed a more affordable, future-proof solution.

  • Zero Downtime:
The migration was seamless, with no interruption to business operations.
  • Cost Savings:
The company avoided the expense of purchasing and maintaining a new server.
  • Improved Productivity:
Staff now enjoy faster, more reliable email access across all devices.
  • Future-Proof Infrastructure:
The move to cloud-based email sets the stage for further digital transformation.
  • Peace of Mind:
With secure, backed-up email in the cloud, the risk of data loss is dramatically reduced.

The Approach

Proactive IT Solutions proposed a server to cloud migration, starting with the most critical component: email. By moving the company’s Exchange server to Microsoft Office 365, we could eliminate hardware dependencies, resolve compatibility issues, and ensure secure, uninterrupted access to email across all devices.

This staged approach allowed the business to modernize without the upfront cost of a new server, while laying the groundwork for further cloud adoption in the future.

The Solution

The server to cloud migration involved:

  • Migrating email to Office 365:
All historical email data was uploaded to the cloud before the switchover, ensuring continuity and zero data loss.
  • Improved compatibility:
Staff could now use the latest versions of Microsoft Outlook without issue—no more downgrades or workarounds.
  • Enhanced mobile access:
With Office 365, email is accessible from any device, anywhere, using the Outlook Web App, which offers a modern interface and full functionality.
  • Shared calendars:
Teams can now coordinate meetings and deadlines more effectively.
  • Security upgrades:
Office 365 allows remote wiping of email data from lost or stolen devices, protecting sensitive client information.
  • Expanded storage:
Each user now has up to 50GB of email storage—far exceeding the previous system’s limitations.

What’s Next?

Paul Edgar Pty Ltd is now exploring additional server to cloud transitions, including file storage and collaboration tools. The success of the email migration has given them confidence in cloud technology and in Proactive IT Solutions’ ability to deliver secure, cost-effective solutions.
