A Non Profit in South East Melbourne

An nonprofit equestrian association based in the eastern suburbs of Melbourne, had operated from the same office for many years. As a community-focused group supporting equestrian activities, their operations relied heavily on a traditional office setup, including an on-premises server for data storage and Microsoft 365 for email communications. The team was accustomed to working in person, with physical phone handsets and local network access forming the backbone of their daily operations.
Business Impact Through Experience

Following the COVID-19 pandemic, work habits shifted dramatically. Staff were spending less time in the office, and rising operational costs prompted the association to make a strategic decision: close the physical office and transition to a fully remote work model.
This decision introduced several challenges. The existing server was nearing the end of its life, and the cost of relocating it to a data center with VPN access was not financially viable. Additionally, while the phone system was cloud-based, it relied on physical handsets—unsuitable for a mobile workforce. The association needed a modern, cost-effective solution that would support remote work without compromising efficiency or collaboration.

The Approach
Recognising the opportunity for a broader digital transformation, the project was approached with a focus on long-term sustainability and flexibility. The goal was to modernise the association’s IT infrastructure using tools already available through their Microsoft 365 subscription, while also introducing a more agile communication system.
The Solution
This initiative became a textbook example of Digital Transformation for Non Profits – Melbourne Equestrian Association. The solution included:
SharePoint Migration:
All server data was migrated to SharePoint, enabling staff to access files securely from any location. For team members in areas with unreliable internet, library syncing was enabled to ensure fast, local access to frequently used files.
Microsoft Teams Deployment:
Teams was introduced as the primary communication tool, allowing staff to collaborate in real time, replacing the need for in-person meetings and long email threads.
Cloud-Based Phone System with Access4:
The association transitioned to Access4, a cloud-based phone system with desktop and mobile apps. Staff were equipped with mobile apps, allowing them to manage calls on the go. A new IVR menu was implemented to route calls efficiently, and voicemail messages were delivered via email. Staff could sign out or activate Do Not Disturb (DND) when unavailable, supporting work-life balance.
